Our Methodology & What We’ll Need From You

Discover Discover

The Discover phase involves thoroughly reviewing what's been sold to validate objectives and inclusions. We'll examine existing presales work and client-supplied materials. A key part of this is conducting shadow sessions with your frontline users to understand their current tools, processes, and micro-processes, ensuring our solution aligns perfectly with their daily operations.

What we'll need from you

  • Provide clarity on current sales/service processes.
  • Make key team members available for one-on-one discovery sessions (1h each, up to XX participants).
  • Share any existing CRM documentation or data exports.

Design Design

In the Design phase for CRM, we translate our Discovery findings into a detailed blueprint. This includes facilitating design workshops with key stakeholders to define the entire CRM experience, covering essential processes, automations, user access, roles, reporting, and more. The outcome is a comprehensive and validated design, ready for configuration.

What we'll need from you

  • Ensure up to 5 concurrent stakeholders are available for 3 days of design workshops.
  • Participate in defining sales stages, service workflows, and reporting requirements.
  • Validate design outputs against your objectives.

Develop Develop

During the Develop phase for CRM, our specialists configure and build your HubSpot CRM solution. This involves setting up custom objects, properties, automations, workflows, lists, pipelines, inboxes, reports, teams, and roles. We conduct rigorous internal testing to ensure every component functions precisely as designed before handover.

What we'll need from you

  • Join two CRM configuration review sessions (2h each).
  • Provide timely feedback on system setup, workflows, and automation.
  • Approve configuration decisions.

Deliver Deliver

The Deliver phase for CRM is when your new system goes live. After your final review and User Acceptance Testing (UAT), we train your project champions, preparing them to onboard their teams effectively. We then manage the go-live process and provide initial coaching and optimisation to ensure smooth adoption and ongoing efficiency.

What we'll need from you?

  • Nominate project “Champions” to attend two days of training.
  • Facilitate end-user training, led by Champions (½ day per up to 20 attendees, with 2x Champions present).
  • Support internal communications to ensure adoption.

Drive Drive

Our Drive phase underpins the entire CMS project, running concurrently to ensure seamless progress from start to finish. This continuous project management involves proactive scheduling, clear communication via weekly reports, and diligent risk and change management. We focus on removing blockers to ensure your project is delivered on time, on budget, to scope, and to the highest quality.

What we'll need from you

  • Assign a client-side project lead to track actions.
  • Manage internal change requests, risks, and approvals.
  • Complete client-side tasks by agreed dates to keep delivery on track.
